Board Officers - Position / Description

President

  1. Lead the Association in accomplishing the objectives stated in our Mission Statement.
  2. Conduct regular Board Meetings, attended by Officers and Directors.
  3. Preside over all meetings of the Association. Name another person (usually the Vice President) to conduct meetings when the President is absent.
  4. Oversee the work of the Officers and Directors to ensure that duties are being performed as set forth by the Board of Directors and in accordance with the By-Laws of the Association.
  5. Define goals for the current term, appoint committee chairs and oversee committee activities.
  6. Act as the primary spokesperson for the Association and delegate this authority to another Officer or Director as appropriate.
  7. Give direction to the Executive Secretary.
  8. Maintain communication with representatives from the State and National Mortgage Bankers Association.
  9. Monitor the financial status of the Assocation in conjunction with Treasurer.
  10. Actively participate in committee and activities of the Association.

Vice-President

  1. Schedule and organize the monthly general meetings and all educational seminars throughout the year in conjunction with the Executive Secretary and committee chairs.
  2. Schedule potential speakers of interest to the entire membership.
  3. Reserve banquet facilities in conjunction with Executive Secretary.
  4. Coordinate information of the event with the social committee and Executive Secretary.
  5. Attend any meetings that the President deems necessary or cannot attend, including Local, State and National conventions.
  6. Conduct any GCMBA meetings that the President cannot attend.
  7. Act as a second point of contact along with President for State and National MBA Representatives.
  8. Assist President in working with committee chair to accomplish the goals of the association.
  9. Assist in recruit and training candidate as successor in position.

Treasurer

  1. Responsible for monthly meeting, special events and dues billings.
  2. Responsible for paying incoming bills in a timely manner.
  3. Follow up on receivables with second billings and phone calls.
  4. Prepare Financial Statements for review at monthly Board meetings.
  5. Balance bank statements as received.
  6. Prepare tax returns, 1099’s, payroll reports, and any other government required forms on a timely basis with the assistance of the designated tax professional.
  7. Monthly review of income and expenses to compare performance vs. budget.
  8. Monitor the quality and extent of services provided by third party tax professionals.
  9. Assist in recruiting and training candidate as successor in position.

Secretary

  1. Attend monthly and special meetings of the GCMBA Board of Directors and record the minutes from those meetings.
  2. Supply to all Directors of the GCMBA Board a copy of the minutes of every Board meeting.
  3. Distribute a monthly summary of minutes from the Board meetings to the Board.  Submit Board approved minutes to Executive Secretary.
  4. Maintain the GCMBA’s By-Laws.
  5. Maintain a monthly chronological order of motions and highlights of the Board meetings.
  6. Assist in recruiting and training a candidate as successor in position.

Executive Secretary

  1. Maintain all official records of the GCMBA, including membership applications, reference letters, minutes of meetings, accounting reports, financials and tax returns and items of historic value.
  2. Maintain current and accurate membership roster and coordinate invoicing, receipt and processing of annual dues with GCMBA Treasurer.
  3. Coordinate production and distribution of Board and membership packets.
  4. Maintain email and fax distribution lists for meeting and events notices, etc.
  5. Monitor GCMBA website, with assistance from webmaster as needed to ensure information is current and accurate and inquiries and comments, etc. are responded to properly and/or forwarded to appropriate Officer(s).
  6. Coordinate scheduling of locations, meals, etc., and distribute notices and/or flyers for Board and general membership meetings and events.
  7. Receive, record and maintain registrations and collect and process fees for meetings and events.
  8. Balance paid fees to actual attendance and deliver to GCMBA Treasurer.
  9. Assist committee chairs as needed with various duties in planning, organizing and conducting meetings and events.
  10. Maintain annual binder of meeting and event notices, vendor and service contracts or purchases, etc.
